Use TimeMachine to Automatically Backup Outlook 2016 for Mac Data TimeMachine is an Apple OS program that allows you to backup data, preferences, and other items. It’s best use is to set up a backup schedule to automatically make copies of the files on a regular basis. To see storage information about your Mac, click the Apple menu in the top-left of your screen. Choose About This Mac and click the Storage tab. For Time Machine backups, it's good to use a drive that has at least twice the storage capacity of your Mac. Create an Outlook 2016 backup file (Mac) Launch Outlook. On the Tools tab, choose Export. (If you don't see an Export button, look for Export on the Outlook File menu.) In the Export to Archive File (.olm) box, check the items you want to export and click Continue. In the Save As box, under Favorites, choose the Downloads folder and click Save.
